Map every copy
Trace source fields through prompts, logs, alerts and destination systems.
Data minimization in AI automation means sending and retaining only the information required for the task. Start with a field-level map of what leaves each application. A prompt containing the entire source record can expose far more context than a classifier or summarizer needs.
Map the data path
List the source fields, transformation steps, model provider, logs, review tools, and final destination. Include execution history and alert messages; these secondary copies often outlive the original processing need.
Classify information according to your organization's policy. Determine whether the task needs names, contact details, account references, message text, or only a small excerpt. Where business or contractual requirements are unclear, involve the responsible owner rather than making policy decisions inside a workflow node.
Remove fields before the model call
For a support-topic classifier, a sanitized subject and relevant message excerpt may be enough. Resolve customer identity separately through trusted identifiers. Masking a name alone does not make a detailed customer story anonymous; unusual combinations can still identify someone.
Apply minimization at the earliest practical boundary. Redacting only the final prompt log does not remove sensitive fields already copied into execution history or sent through an intermediate enrichment service. Inspect real configuration paths, not just the final model request.
Control operational copies
- Keep secrets in the approved credential system.
- Use record references in alerts rather than complete payloads.
- Limit access to execution history and review queues.
- Define retention for prompts, responses, and debugging fixtures.
- Review export and deletion procedures for stored records.
Check the provider's current data handling settings and the organization's applicable agreements before processing production records. This article provides an engineering review method; it does not establish that a particular configuration meets legal or contractual requirements.
Verify with a synthetic sensitive record
Create a fixture containing recognizable test contact details and trace where each field appears. Inspect prompts, logs, alerts, retry records, and review screens. Confirm that fields excluded from the model request are also absent from unnecessary operational copies.
Repeat the trace after adding a new connector or debugging feature. Data exposure often grows through convenient troubleshooting changes rather than an explicit product decision. Keeping the field map current makes later audits much easier.

A few practical answers
Frequently asked questions
Why is removing a customer name sometimes insufficient before an AI call?
The remaining payload may still contain identifying or unnecessary details. Review each source field and send only the information needed for the narrow classification or interpretation task.
Where should a privacy review look beyond model prompts?
Inspect execution history, retry records, alerts and review screens. These operational copies can retain sensitive data even when the model input itself is reduced.
